This quick-start guide will take you through the steps to run placement testing using the oxfordenglishtesting.com learning management system (OLMS). After you have worked through the recommended steps of this guide and familiarised yourself with the process of running placement testing, use this page as a quick reference chart.

Set up groups of students who will be taking a placement test
Click the Admin tab and select Manage placement groups step1 1
Set up a teacher(s) to administer placement testing (if required)

Assign placement tests and email/print out student log-in details
Click the Tests tab and select Assign step1 1
Check placement test results

All account owners can run placement testing. If you are an account owner and want someone else to run the placement testing for your organisation, you can set up a teacher/another member of staff with full admin permissions so that they can run placement testing too.
Set up groups of students who will be taking a placement test
Click the Admin tab and select Manage placement groups. step1 1
  1. Click the Admin tab and select Manage placement groups.

  2. Click the create a new placement group button.

  3. Give your group a name in Step 1 (e.g. Placement Testing July), then select one of the three options in Step 2. Click the more details links for more information about each of the options.

    If you choose the first option (places for unknown students), enter the number of places you want to create.

    If you choose the second option (using a list of email addresses), click the Browse button to find your file.

    Finally, click the save button to add this group to the list of groups for placement testing.

  4. The group has been added. Click OK. Click the delete link if you want to remove the group.

Note!
Log-in details will be generated when placement tests are assigned to students in these placement groups in Assign. See Step 3 below.

Set up a teacher(s) to administer placement testing (if required)
Click the Admin tab and select Manage teachers. step1 1
  1. Click the Admin tab and select Manage teachers.

  2. Click the add a new teacher button.

  3. Complete the form. Click Question mark for more information about Teacher ID and Password.

    Select Full admin rights for teachers that will run placement testing.

    Click the save button to add this teacher to the list of teachers.

  4. The teacher has been added. Click OK. Click the delete link if you want to remove the teacher.

    Click the classes link to allocate the placement group(s) that you set up in Step 1 to this teacher.

  5. Tick the box(es) to select the placement group(s) you want to give to this teacher, then click the save button.

Note!
Full admin rights should be allocated carefully, as this gives a teacher access to all the functions on the Admin tab. View classes should be an adequate level of admin permissions for the majority of teachers in your organisation. The teacher will be emailed their log-in details if you select Email log-in details.

Assign placement tests and email/print out student log-in details
Click the Tests tab and select Assign step1 1
  1. Click the Tests tab and select Assign, then select the placement group from the drop-down list. Click the next button to proceed to the next step.

  2. Select the Oxford Online Placement Test from the drop-down menu in option A (Assign a new test). The number in brackets, e.g. [20], shows the number of tests that are available to assign. Click the next button to proceed to the next step.

  4. Tick the student(s) you wish to assign the Oxford Online Placement Test to. Click the next button to proceed to the next step.

  5. Check the summary and if necessary change the default Visible from date and the Due date. Enter the date or select the date from the drop-down calendar. Click the next button to proceed to the next step.

  6. Check the summary carefully. You will see the default email that will be sent to students. (You will only see details for the first student in the group.) You can add an optional message to this email. Click the print button to print the summary. Click the confirm and send button to send the email with the log-in details.

  7. Click the download & print button. Then, choose to open or save the file to get slips with log-in details for the students.

Note!
The box next to Send emails must be checked if you want the system to automatically send emails with log-in details (to students that you have email addresses for). If you created an unknown group (i.e. no names or email addresses known), you will be able to print out the log-in details after step 6 below.
Note!
If your placement group was created from a list of email addresses or from a file that you imported in Import from files, the email with log-in details (as displayed on this screen), will automatically be sent to the email addresses for the selected students. You will also be able to print out slips with these log-in details after you click the ’confirm and send’ button.

If you created an unknown group (i.e. no details known about students), you will be able to print out the log-in details after you click the ’confirm and send’ button. You can then distribute these slips by hand to students who will be taking the placement test.
Note!
You can change your organisation settings so that the system asks students to provide additional information, such as first language, occupation, etc. To do this, please refer to the quick-start guide: Customising your organisation settings.

Check placement test results
Click the Admin tab and select Manage placement results step1 1
  1. Click the Admin tab and select Manage placement results.

  2. Select the placement group that you want to check results for. Click the next button.

  3. Hover over the CEF level (e.g. C1) in the CEF column for more information about the grade.

  4. Click the column heading to sort that column. This will help you group students in order to move them into appropriate classes. For example, click CEF to group all students with the same CEF level together. Click the box to lock that column.

    You can then sort results further by clicking on another column. Uncheck the box to unlock the column.

Note!
All scores are out of 120 with 20 points relating to each CEF level.

The Use of English score and the Listening score are each out of 120. They are then equally weighted to give an overall score out of 120.

You can add extra columns to this results screen to help you move students into appropriate classes. For example, you can add a column to display information such as a student’s first language or a column for a different grade card (i.e. instead of, or in addition to, the standard CEF grade card – see example of Class level shown here). Move students into regular classes
Click the Admin tab and select Manage placement results step1 1
  1. Click the Admin tab and select Manage placement results.

  2. Select the placement group that you want to move students from. Click the next button.

  3. Select the class you want to move students into from the drop-down list. Then, tick the students you want to move into that class. Finally, click the move button.

  4. Click the Tests tab and select Markbook, then select the class that you moved your placement students into. Select to show All tests for individuals in this class or group. Click the next button.

  5. You will now see your students’ placement test results in the Markbook for their regular class. Click the plus to see details for the Use of English and Listening results.

Note!
When you move students into regular classes here, their names will appear in the list of all regular students in your organisation in Manage all students (not placement) on the Admin tab and in the class list for the class you move them to in Manage classes.
Their placement test results will be transferred from here to the Markbook for their new class.
